What I did
Designed a centralized document management system that unified files, workflows, and permissions across departments. With defined roles—Administrator, Editor, Consultant, and Auditor-users could securely upload, edit, and access documents, improving collaboration and reducing time spent searching for files.

Challenges
Problem
Fragmented tools: Multiple platforms across 2. departments created inconsistent workflows, duplicated files, and no single source of truth for document status.
UX reason: Inconsistent permission structures meant users either had too much access or couldn't find what they needed. No standardized upload, review, or approval flow existed.
Business cost: Teams spent significant time searching for files across systems, slowing down contract processing, legal reviews, and client onboarding.
Opportunity: Design one system that handles the full lifecycle, from upload to archive.
Goal
Designed a centralized document management system that unified files, workflows, and permissions across
departments. With defined roles—Administrator, Editor, Consultant, and Auditor-users could securely upload, edit, and access documents, improving collaboration and reducing time spent searching for files.

Research & Discovery
Research was structured across three key user groups to understand distinct needs and behaviors.
We mapped 4 user journeys
Ran stakeholder sessions to align on roles and permissions
Applied MoSCoW to prioritize core flows.
Identified key tension: flexibility (admins) vs. simplicity (users).

Key insights
We began by crafting a visually appealing and eco-conscious design that aligned with Green Mart’s brand identity. The platform was built using a responsive framework to ensure optimal performance across devices. Key features such as product filters, eco-impact calculators, and wishlist functionality were implemented to enhance the user experience. Integration of multiple payment gateways and localization options enabled a global reach. Rigorous testing was conducted to ensure seamless navigation and high-speed performance, resulting in a platform that met both the client’s and users’ needs.
